Term of Reference: Administrative Services Officer

The incumbent shall provide support to the Council of European Professional Informatics Societies (CEPIS) and ECDL Foundation, the certifying authority of the leading international computer skills certification programme – ECDL / ICDL.

They shall be responsible for the various elements of the job description listed below. The duties outlined are not exhaustive and the incumbent will be expected to undertake additional duties as reasonably directed.

The working language is English, however the incumbent must be able to communicate very well in French. A basic level of German or Dutch is an advantage.


Event organisation for member meeting and conferences.

Manage all event logistics

Oversee participant registration, and produce frequent reports

Maintain accurate records of attendees

Draft and send invitations, confirmations and reminders for attendees

Undertake actions to promote the events as directed

Liaise with suppliers, contacts, contractors, venues as required

Providing support to member groups on variation topics, including taking minutes, convening meetings, liaison with members, drafting agendas

Produce/assist with the production of event related material, draft copy for the website and publications, stories for internal publications and other materials as requested

Policy Monitoring

Produce an internal policy monitoring report on a regular basis

Produce regular and ad hoc reports on topics of interest related to these topics

Support and coordinate working groups in areas related to information technology, professional and end-user skills, legal and security issues in IT, Green ICT and gender equity i

Monitor and conduct research on EU policy developments in fields relating to ICT (e.g. ICT Professionalism, ICT in education, Green ICT, data protection, ehealth, Digital literacy and e-skills) n ICT

Undertake advocacy activities as directed by the Secretary General

Administration and Operations Support

Ensuring Projects are administered on time

Monitoring in house CRM systems and ordering systems

Provide support with website content maintenance (CMS)

Act as first point of contact for member queries

Respond to customer queries

Manage and maintain various services offered to members (online tools e.g.)

Minimum Skills

A minimum of 4 years’ experience in a similar role

Native written and spoken English and a good writing style are essential

Strong command of French

Experience organising European events

High level of motivation to work independently in fast paced, demanding environment

Excellent knowledge of standard office applications

Be very organised and detail-oriented

Thrive in a small team and work well independently

Have a highly proactive and disciplined work ethic, with good motivation
