Administrative Assistant, Operational Support team

The position
The Administrative Assistant will provide administrative support to the Operational Support team. We are looking for a highly organised, proactive, pragmatic and flexible team player who is enthusiastic, works well under pressure and has initiative. Experience of working as an administrative assistant would be an asset.
Main responsibilities 
1. Providing receptionist services (2 hours/day):
  • Welcome visitors
  • Ensure a professional follow-up of all incoming calls and clear internal follow-up of calls received
  • Booking and preparation of meeting rooms
2. Providing a wide range of administrative support including: 
  • Facilitating meetings and agenda’s (with specific dedication to the management team)
  • Typing and editing various documents
  • Formatting of presentations. This requires an excellent knowledge of MS Powerpoint
  • Event coordination (database management, prepare materials mailing,…)
  • Prepare packages for meetings (copies, scanning, binding of presentations, badges, etc.)
  • Support the organisation of meetings, event registration, travel and logistics 
  • Provide administrative support to the HR Director in various functional HR areas such as but not limited to:
    • recruitment (scheduling interviews, contacting universities, prepare induction programmes, performing computer data entry) 
    • training (update database and Cefora file, follow-up on attendance)
    • maintaining accurate holiday files 
  • Maintain high level of confidentiality in all interactions and at all times
Expected skills and competencies
  • An enthusiastic team player with a flexible and can-do attitude
  • Strong organisational skills and the ability to prioritise deadlines
  • Pragmatic, hands-on and results oriented
  • Attention to details and high level of accuracy 
  • Excellent oral and written communication in English and French
  • Ability to work in an international and challenging environment
  • Proficient in most common business software applications
